Integrating a QR code into bicycle production unlocks a wide range of opportunities-not only to meet EU requirements such as the "Right to Repair", but also to enable a broad spectrum of services throughout the entire lifecycle of the bike.

A: Beneath clear coating

Placing the QR code under the clear coat ensures maximum protection and long-lasting functionality. The code becomes a permanent part of the bike - shielded from wear, weather, and external damage.
The design can be customized to match the look of the bike, blending seamlessly with the frame.

Instructions

1. Download and Integrate the QR-Code into Your Frame Design
Use the vector template available here:

Placement Options (choose one):
A) On the seat tube, facing forward, near the bottom bracket shell
B) On top of the down tube, facing upward, near the bottom bracket shell

Design Guidelines:

  • Sticker size: 20×40 mm

  • QR code: Must be black

  • Background behind QR code: Solid white

  • Sticker background: Banners

  • BF number font: Arial, size 11 pt

  • Colors: You can customize the BikeFolder logo and BF number colors to match your frame design

2. Order the Required Quantity
Order one unique QR-code per bike frame. Use the order form provided above.


3. Receive the Complete Design File
We will send a vector file containing all the QR-codes, prepared according to your order.


4. Make Design Adjustments (if needed)
You can make small design adjustments (e.g. color tweaks) if necessary. See design guidelines in Step 1.


5. Send Final File to Your Decal Supplier
Use your regular decal manufacturer to ensure proper quality and compatibility with your paint process.


6. Decals Are Sent to the Painting Facility
Your decal supplier delivers the QR-codes to the frame painting facility along with other decals.


7. Apply QR-Code and Add Clear Coat
Apply the QR-code decal to the frame as part of the regular decal process. The clear coat will secure it permanently.


8. Match QR-Code with Frame Number
Before or after final assembly, record which BF number is linked to each frame number.
Create a document with two columns:
Frame Number | BF Number


9. Add QR-Code Data to Production File
Prepare a full production document including:

  • Frame number

  • Frame size

  • Color

  • Model year

  • Brand

  • Model name

  • BF number

Optional but highly recommended:

  • EAN/UPC code

  • Model number

  • Image URL

  • Battery number

  • Battery key number

  • Bike lock number

File format: XLS, CSV, or similar

10. Submit Final Production File
Send the completed file to: data@bikefolder.com
We will generate your digital bike cards within 2-4 business days.

1. Design Your Tag

Create a custom design using your brand's logo and colors. Make sure to save the file in a vector format (e.g., .ai, .svg, or .eps) for optimal print quality.


2. Order Your Tags

Fill out the order form here and upload the finalized design file directly in the form.
Specify the delivery address of your assembly factory.


3. Payment

An invoice will be sent to the contact person provided in the order form. Production starts once the order is confirmed.


4. Production

Tags are manufactured with high quality. We produce in both Europe and China to ensure cost-effective and fast delivery.


5. Delivery

Tags are shipped directly to your chosen assembly factory, ready to be mounted on the bikes.


6. Mounting

Tags are attached directly to the handlebar (or a suitable location) during final assembly. All QR codes are pre-activated and ready to use.


7. Upload Production Data

To activate the bike's digital passport, upload a file containing the following details for each bike:

Required fields:

  • Frame number

  • Frame size

  • Color

  • Model year

  • Brand

  • Model name

Recommended for full functionality:

  • EAN / UPC code

  • Model number

  • Image URL

  • Battery serial number

  • Battery key number

  • Lock serial number

What happens next?

When a customer scans the QR code anywhere in the world, they will be asked to enter the frame number. Once confirmed, the digital bike card is instantly activated - linking all relevant data and functionality to the owner.

All bike data is automatically connected to your brand's dashboard in BikeFolder.

1. How do we add the model information?

As a bike brand, you get access to your own brand dashboard where you can upload all relevant model information. Each unique bike (with QR code) is automatically linked to its model profile, which includes:
- Specifications
- Images
- Technical details
- Certifications (if any)

The QR code gives access to a complete digital "Bike Card" with features such as:

3. How do I log in to the brand dashboard?

How do we know the QR code works after production?

We recommend testing a random QR code after the bike has been fully painted and assembled. Simply scan the code using a mobile phone - it should lead to an empty bike card. Once the production data has been submitted to us, the full bike card with model details will become visible.

What if we need to update a model or add more?

All model data can be added and edited on your dashboard.

Who has access to the data behind the QR code?

The data is owned by the brand but can be shared with relevant parties using BikeFolder - such as dealers, workshops, owners, and insurance providers - depending on access levels. GDPR and data protection are fully respected.

What does it cost?

The QR code integration is free. There are no costs for using the core system as a brand. Optional features like API integrations or larger data migrations may incur costs - contact us for a tailored setup.

Can we integrate BikeFolder with our existing systems (ERP/PIM)?

Yes. We offer API access and technical support to integrate with ERP, PIM, or production systems. Please contact us for full documentation.

Can we customize the QR code design?

Yes. You can adjust the colors and placement so it fits your frame design. Just make sure to follow our technical guidelines to ensure scannability.
